IBX Fitness LLC ("IBX," "we," "us") runs the IBX Fitness studio at 727 San Pablo Ave, Suite 102, Albany, CA 94706, the website ibxfitness.com, and the IBX Fitness mobile app for iOS and Android. This policy explains what information we collect, how we use it, who we share it with, how long we keep it, and how to delete it.

What we collect

Account and contact info. Your name, email, phone number, and date of birth when you create an account, book a class, or sign a waiver. Your emergency contact if you give us one.

Payment info. When you buy a membership, class pack, or drop-in, our payment processor handles the charge. We can see the card type, last four digits, and expiration date. We never see or store your full card number.

Fitness and activity info. The classes you book, attend, cancel, or waitlist for, your check-in history, and the stats the app builds from that history, like your total classes taken. This is the only health and fitness data the app collects. We don't collect medical records, symptoms, heart rate, steps, or body measurements, and the app doesn't connect to Google Health Connect, Google Fit, or Apple Health.

If you tell us about an injury or health condition so a coach can adjust your workout, we keep that note in your member profile and use it only for that reason.

Device and usage info. When you use the app or website, we receive technical details like device type, operating system, app version, IP address, and which screens or pages you use. Our website uses cookies and similar tools, including analytics and advertising pixels, to understand traffic and measure our ads.

Messages. Texts, emails, and call notes between you and the studio, including class reminders and any marketing messages you've opted into.

How we use it

  • To run your account, bookings, memberships, and payments

  • To send class reminders, waitlist updates, and account notices

  • To coach you well, using your attendance history and any notes you've given us

  • To send news and offers, if you've opted in. You can opt out any time.

  • To keep the studio safe and prevent fraud

  • To meet legal, tax, and accounting requirements

Who we share it with

We don't sell your personal information. We share it only with:

  • Service providers that help us run IBX: our studio management platform (Mariana Tek, part of Xplor), our payment processor (Stripe), and our messaging and marketing tools (Xplor Growth and Lasso). They can only use your information to provide their service to us.

  • Professional advisors like our accountant or lawyer, when needed

  • Law enforcement or regulators, when the law requires it

  • A buyer, if IBX is ever sold or merged

How long we keep it

We keep your information while your account is active. After you delete your account or stop being a member, we keep:

  • Purchase, payment, and class attendance records for up to 7 years, for tax, accounting, and legal reasons. Your name stays attached to these records in our reporting.

  • Signed liability waivers for as long as needed to defend against legal claims

  • Texts and emails exchanged with the studio for up to 2 years

Everything else is deleted or anonymized within 90 days of a deletion request.

How to delete your account and data

In the app: tap your profile icon, then Personal Information, then Delete Account.

On the web: log in at ibxfitness.marianatek.com, go to Profile, then Personal Information, then Delete Account.

By email: send a request to info@ibxfitness.com from the email address on your account with "Delete my account" in the subject line. We'll verify it's you and confirm within 10 business days.

If you have an active or paused membership, an upcoming reservation, or a pending order, you'll need to cancel those first. Membership cancellations go through ibxfitness.com/cancel-form. Deleting your account doesn't cancel a membership and doesn't refund purchases.

Your choices

  • Marketing emails: use the unsubscribe link in any email

  • Texts: reply STOP to any message

  • Update your info: edit your profile in the app or at ibxfitness.marianatek.com

  • See, correct, or delete your info: email [studio email]

California residents can ask what personal information we hold about them and ask us to delete it. We won't treat you differently for asking. Email info@ibxfitness.com

Security

We protect your information with reasonable safeguards, including password-protected accounts, encryption in transit, and limited staff access. No system is perfectly secure. If you think someone accessed your account without permission, tell us right away.

Children

The app and website aren't meant for children under 13, and we don't knowingly collect their information.

Changes to this policy

We'll post any changes here with a new effective date. If a change is significant, we'll email members.
